Privacy policy
We collect as little as we can. This page says what the app keeps, where, why, and how you can see it, export it or delete it.
Draft text
This page was written from how the app actually works. It has not been reviewed by a lawyer, and the parts in [square brackets] are for the owner to fill in. It must be completed and reviewed before launch.
Who is responsible
[Name of the company or person running Velkado], [address], [country]. Contact for anything about your data: [contact email address].
What stays on your device
Without an account, your answers to the questions, your progress on each step, your document ticks, your shortlist and the course you chose are saved only in your browser. They are not sent to us.
Signing out, or using "Clear my answers from this device", removes them from the device.
If you make an account
You sign in with your email address and a six-digit code, with no password. We then keep:
- your email address (held by our sign-in service),
- your answers (nationality, country of residence, qualification, degree, destination, field of study, intake, and for a master's the country and length of your bachelor's),
- your progress on each step.
This lets your roadmap follow you to another device. We collect no passport numbers and keep no scans of your documents.
Reports and the waiting list
If you tell us a step is outdated, we keep your message, the step it is about, and your account if you were signed in. If you ask to be told when a roadmap is ready, we keep your email address, the destination and degree you want, and the wording you agreed to. We use it only to tell you.
The assistant and the letter scanner
When you ask the assistant a question, we send the question, the last few messages, the parts of your answers the roadmap uses (not your name, email or grades), and the step cards it found to an AI service, which writes the answer. When you scan a letter, your photo is sent once to the same kind of service to be read.
We do not store your questions, the answers or your photo. We keep only a note that a question or scan happened, so we can apply the daily limit and see how the product is used. A letter's result is kept only if you press "Save this result", in your account, where only you can see it, and you can delete it at any time.
The AI service we use is [name of the AI provider]. Its own terms and privacy policy apply to what we send it: [link].
Email reminders
Only if you turn them on in Settings. We then use your sign-in email address to send deadline reminders and a weekly summary, through [name of the email service]. Every email has a one-click link to stop them.
Counting how the product is used
We count a few events (for example that a step was marked done) in our own database, with no third-party tracking. Each event carries only public keys such as the step's name, never anything about you. A random number that lives only as long as the browser tab ties one visit's events together. We honour Do Not Track and Global Privacy Control: if your browser sends either, nothing is counted.
Cookies and similar storage
We use only what the app needs to work: the cookies that keep you signed in, and storage in your browser for your answers and progress, your display choices (theme, reduced motion) and the random visit number above. We use no advertising or tracking cookies, so there is no cookie banner to accept.
Where the data lives
Your account data is stored with [database host, for example Supabase, region]. The site is served by [hosting provider]. Those providers process data for us under their terms. [Owner: add any transfer outside your country and the legal basis.]
How long we keep it
Account data is kept until you delete your account. Usage events, reports and the waiting list are kept for [owner to decide: how long]. When you delete your account, your answers, progress, reminder settings and saved letters are deleted; reports and usage events stay but are no longer linked to you.
Your choices
In Settings you can change your answers, turn reminders on or off, download a copy of your data, and delete your account. For anything else, or to complain, write to [contact email address]. [Owner: add your supervisory authority.]
Young people
The app is for people aged 16 to 25. [Owner: say what applies to under-18s in your country, for example parental consent.]
Changes
If we change this page in a way that matters, we will say so on it and, if you have an account, by email.
